Klarna DATEV integration: connecting accounting cleanly

A Klarna DATEV integration becomes important as soon as a payout no longer explains what lies behind it in accounting terms. Payments, fees and payouts belong to the same payment stream, but they have to be treated differently in accounting.

Then there is the crucial link to the order: Which payment belongs to which invoice? Especially as transaction numbers grow, a seemingly simple payout quickly turns into a reconciliation issue. How does payment data from a payment provider such as Klarna get cleanly into accounting and then on to DATEV? You'll learn here which steps lie between setup, account assignment and export.

What you'll learn here:

  • A Klarna DATEV integration creates transparency when individual payouts alone do not show which payments, fees and payouts lie behind them.
  • AccountOne retrieves the Klarna data automatically via the API and prepares it for further processing.
  • Payments are matched to the corresponding orders via transaction identifiers, provided the order data from the shop or invoicing system is available.
  • The connection requires an API username and API password.
  • After the first data retrieval, account assignments are made for the payment accounts; payouts additionally run via a cash-in-transit account.
  • Customer payments, fees and payouts are considered separately in accounting so that individual movements remain traceable.
  • The Klarna DATEV export provides the posting data monthly in a DATEV-compatible format for further processing.
  • AccountOne combines payment and order data into a traceable process; the tax and accounting review remains with the tax firm.

Where Klarna accounting gets complicated and why payouts alone are not enough

In the end, a total appears on the bank account. For Klarna accounting, however, the tax consultant needs considerably more. Individual customer payments, fees and payouts each follow their own accounting logic. Anyone who only looks at the payout received loses this level. Only the individual transactions show which data lies behind the amount transferred.

That is why the movements before it are decisive. AccountOne retrieves the data from the payment service provider Klarna automatically via the API and prepares it for further processing. This keeps it traceable for companies and tax firms which transactions make up a payout.

Between order and payment: how the Klarna DATEV accounting integration brings data together

A payment without an invoice tells only half the story. This is exactly where the Klarna accounting integration becomes interesting: AccountOne reconciles the payment transactions with the existing order or invoicing data.

This matching is based on transaction identifiers contained in the respective data records. This allows a payment to be matched automatically to the corresponding order.

As the provider of the payment service, Klarna supplies the payment data, which AccountOne combines with the existing order information. The associated order data must be available via the shop or another connected system. Only together do they create a traceable data path for the tax firm.

Before data flows – setting up the Klarna DATEV integration

The connection is quick and easy. First, API credentials are created directly in the Klarna account for the connection. An API username and the associated API password are required. Klarna is then selected as a new integration in AccountOne and connected using these credentials.

One small detail is crucial here: In Klarna, newly created API credentials are displayed in full only once. If they are not saved straight away, new credentials have to be created with the payment service provider.

Finally, after setup, it should be checked whether the connection in AccountOne is active and there is no error message about the credentials. Data retrieval via the Klarna DATEV integration then starts automatically.

Systematic account assignment

Connected does not automatically mean ready for posting. After the first data retrieval, the corresponding payment accounts appear in AccountOne. They are assigned general ledger accounts from the designated bank range.

For the payout transaction type, another account comes into play: the cash-in-transit account. It maps the payout to the actual bank account.

Klarna fees also need their own account assignment. This account assignment produces the posting records that are later available for further processing. AccountOne automates the technical preparation; companies agree on the appropriate account assignment with their tax consultant or tax firm. This keeps technical data provision and tax assessment clearly separate.

Fees, payments, payouts: what has to be considered separately in accounting

In DATEV, Klarna is treated for accounting purposes much like a separate payment account. Different movements come together on it:

  • Customer payments
  • transaction-related Klarna fees
  • Payouts to the bank account

That is why the account balance alone is not enough for traceable postings. Only the individual movements explain what actually happened.

The payout is particularly important. It is transferred to the real bank account via cash in transit. This creates a link between the payment stream and the actual receipt of money at the bank. It is precisely this separation that makes later reviews much more targeted.

From data retrieval to the Klarna DATEV export – what is checked before the handover

The Klarna DATEV export is not simply about downloading any file of the client. Before that, the tax settings, the account assignments and the format must be right.

AccountOne provides the movements monthly for further processing in accounting software such as DATEV. The posting data is output in a DATEV-compatible format. The CSV file can be downloaded in the dashboard and then read in via DATEV batch processing.

Payment data is not the same as receipts or receipt images. The Klarna DATEV integration maps the payment stream; the associated invoice and order data from other providers come from the correspondingly connected systems.

A quick check beforehand is worthwhile:

  • Is the correct month selected?
  • Do all payment accounts have a complete account assignment?
  • Is the appropriate cash-in-transit account stored for payouts?
  • Are fees assigned to an expense account?

Only then does payment data become a reliable Klarna DATEV export.

At month-end, reconciliation counts: closing the books traceably

Whether the data path works becomes apparent at the end of the month. For traceable, GoBD-oriented bookkeeping, what counts is that transactions remain structured and verifiable. The crucial question is not: Do the totals roughly add up? But rather: Can every relevant movement be explained?

Payouts from Klarna run via cash in transit and can therefore be compared with the actual receipt on the bank account. If there are discrepancies, the search can be narrowed down to specific transactions with little effort.

The advantage? Instead of manually reconstructing an entire payment stream, the tax consultants can start where a difference actually exists. This makes accounting verifiable and month-end closing clear.

With AccountOne to the Klarna DATEV integration – less manual work, clear processes

A Klarna DATEV integration does not simply connect two systems. In between lie payment retrieval, matching, account assignment, export and review. AccountOne prepares exactly this chain in a structured way.

Klarna supplies the payment movements. The shop or invoicing system, on the other hand, supplies the associated order data. AccountOne brings both levels together and provides the prepared data for further processing in DATEV. The tax and accounting review remains where it belongs: with the tax firm.

The preparation significantly reduces the accounting workload. This creates a traceable process from receipt of payment to the prepared data for DATEV.

Frequently asked

How is Klarna connected to DATEV?

The connection takes two steps:

  • create API credentials in the Klarna account – an API username and the associated API password
  • select Klarna as a new integration in AccountOne and connect it using these credentials

AccountOne then retrieves the data automatically via the API. The steps in detail: Klarna connection guide

What happens if the API credentials were not saved?

Klarna displays newly created API credentials in full only once. If they were not saved straight away, new credentials have to be created in the Klarna account. After setup, it is worth checking in AccountOne: Is the connection active, and is there no error message about the credentials?

How are Klarna payments matched to orders?

Via transaction identifiers that are already contained in the order data from the online shop or in the data from the invoicing system. AccountOne uses them to reconcile the payment transactions and matches each payment to the corresponding order. This requires the order data to be available via the shop or another connected system.

This matching also makes it possible to address the correct debtor right away. No manual intervention in DATEV is needed for this.

How is Klarna represented in accounting?

In DATEV, Klarna is treated like a separate payment account, comparable to the booking method of a cash register. Customer payments, transaction-related Klarna fees and payouts to the bank account are posted to it.

The payouts run via cash in transit and match the receipt on the bank account. This makes reconciliation in DATEV easy: if there are discrepancies, the search can be narrowed down to specific transactions.

Which accounts need an account assignment for Klarna?

After the first data retrieval, the payment accounts appear in AccountOne. The following are assigned:

  • the payment accounts, with general ledger accounts from the designated bank range
  • payouts, additionally with a cash-in-transit account
  • Klarna fees, with an expense account

Companies agree on the appropriate account assignment with their tax consultant or firm.

How does the Klarna data get into DATEV?

AccountOne provides a DATEV-compatible CSV file for the payments from Klarna every month. It is regularly checked with the DATEV validation tools, can be downloaded in the dashboard and read in via DATEV batch processing.

No separate ASCII import has to be created for this – the data can be read in with DATEV’s standard tools. This prevents errors during import.

Does the Klarna DATEV integration also supply receipts?

No. The Klarna DATEV integration maps the payment stream; payment data is not the same as receipts or receipt images. The associated invoice and order data come from the connected systems such as the shop or invoicing system.
