OTTO DATEV integration: Prepare marketplace data reliably

An OTTO DATEV integration becomes important at the latest when a manageable marketplace business turns into many individual posting cases. Orders, invoices, credit notes, fees and payouts are not automatically available in the form that accounting needs. The critical point is therefore not the import into DATEV, but the clean preparation before it.

Which files do retailers need to take over from OTTO? How does the AccountOne Smart Import work? And what should companies and tax consultants pay attention to in payment reconciliation? How marketplace data becomes reliable posting information is what you'll learn here.

What you'll learn here:

  • OTTO accounting requires the order files from OTTO Market and the account statements from OTTO Payments. On this basis, the business transaction and the flow of money can be brought together.
  • The Smart Import takes over the provided OTTO files without retailers having to edit the original reports manually beforehand.
  • Invoices and credit notes remain traceable separately, so that corrections and different tax situations are also represented cleanly.
  • Clear account assignments and tax setup ensure a reliable data basis.
  • After the review, the prepared posting data is provided for DATEV via an export.
  • In addition to OTTO Market, AccountOne also supports other marketplaces such as Amazon and eBay.

OTTO DATEV integration – Why good accounting begins with the source data

With OTTO, the completeness of the reports already determines whether the accounting will add up later. AccountOne matches transactions to the corresponding invoices and creates individual postings from them instead of lump-sum collective values.

It is important to provide the right files. A different file can lead to incomplete data. If the order file does not contain “Kundenbelege” in its name, credit notes may be missing, for example. For the OTTO DATEV integration, quality therefore by no means begins only in DATEV, but with the right marketplace report.

Between marketplace and accounting: Which data is really needed

AccountOne requires two data sources: the order data from the “Kundenbelege” and the account statements from OTTO Payments. OTTO provides them in different places – orders and finances initially remain separate.

This is exactly what makes the difference. Order and invoice data explain the business transaction, the data from payment processing the flow of money. Only when both sides are available can the OTTO integration relate invoices and payments to each other. For retailers, this means: What matters is not as many files as possible, but the right ones – complete and for the same period.

Anyone who only posts the transferred amount represents neither revenue nor deductions completely. This can be remedied by posting the tax-assessed orders and the individual transactions from the payouts separately. This is precisely the difference between a quick payment import and a reliable posting basis. This automatically saves time during the review.

From download to Smart Import with the OTTO Market integration

Once the reports are complete, the actual import begins. AccountOne currently processes OTTO via the Smart Import, as there is not yet an API connection to the marketplace.

To do this, retailers first download the files from OTTO, open the Smart Import in AccountOne and upload the reports there.

The process is simple:

  • Select files
  • Start upload
  • Check processing

The OTTO Market connection therefore requires no manual restructuring of the files whatsoever. After the upload, an automated processing step takes care of preparing the provided data.

Setting up OTTO accounting correctly: Keeping track of invoices, payments and credit notes

Not every document increases revenue. Invoices represent sales, credit notes correct transactions that have already occurred. For financial accounting, both must therefore be kept separate. Only then are invoice data and later corrections traceable.

The sales then pass through the AccountOne VAT assessment matrix.

AccountOne processes orders as individual postings and also splits different tax situations within one order.

This is particularly important with mixed tax rates: An order remains one business transaction. For tax purposes, however, it may contain several items. This creates a differentiated posting basis instead of a lump-sum collective posting.

Understanding fees and payouts before payment reconciliation begins

With the account statements from OTTO Payments, it is not only payments that find their way into the system. The more transactions come together, the more important it becomes to reconcile the individual payment movements. For payment reconciliation, therefore, not only payouts but also the associated fees and individual movements must be completely available.

Via the Smart Import, AccountOne takes over the individual fee items and posts them to different expense accounts. Account assignment remains the task of the tax consultant.

OTTO DATEV integration in everyday use: Preparing accounts and posting information cleanly

After the import, the professional setup begins. AccountOne automatically creates new fee items under the expense accounts; for their allocation, the system provides sample account assignments for common charts of accounts. Especially for tax consultants with several clients, a uniform logic creates a reliable basis for further review. The template serves as guidance. Which accounts are actually used is the responsibility of the tax consultant.

New transaction types may also require their own account assignments. For VAT_CORRECTION and VAT_REFUND, for example, bank and contra accounts can be stored. This keeps the OTTO DATEV integration adaptable.

After the review: Transferring posting data securely to DATEV

Once the data has been reviewed, it is handed over to DATEV. In the Export Dashboard, the desired period of the export can be selected. If the DATEV Buchungsdatenservice is used for the transfer, the data must be finalized beforehand.

Before the import, it is also worth checking whether invoice data, payments and corrections are completely available for the same period. This way, the OTTO connection does not simply pass on files, but reviewed posting information with traceable origin.

Tax firm and company: How the OTTO DATEV integration stays reliable

Technology takes over a lot of work, but not every decision. The company provides the complete OTTO files and clarifies open business transactions. The tax firm reviews account assignment, tax settings and exports.

For this, AccountOne creates a shared data basis between company and tax firm. This becomes important above all when a tax consultant looks after several growing e-commerce clients. Uniform processes help to keep reviews and queries manageable.

OTTO Market is only one part of e-commerce. Anyone who also sells on other marketplaces does not have to build a new solution for each channel. In addition to OTTO Market, AccountOne also supports platforms such as Amazon, eBay and Kaufland with the automated preparation of accounting data.
